Who we are

Insight@ is a student society (an unincorporated association / feitelijke vereniging) based in Leuven, Belgium ("we", "us", "our"). We are the controller responsible for the personal data collected through this website. For any question about this policy or your personal data, contact us at hello@insight-leuven.be.

What we collect

We collect two kinds of data:

• Information you give us. When you use our contact form we receive your name, email address, your message, and any files you choose to upload, such as a motivation letter or transcript.
• Information collected automatically. When you visit the site, our hosting and security providers process technical data such as your IP address, browser type and the pages you view. This helps the site load correctly and keeps it protected against abuse.

Why we use it, and our legal basis

We use your data to:

• reply to your message and, where relevant, handle your application. Legal basis: your consent and taking steps at your request (Article 6(1)(a) and (b) GDPR).
• keep the website secure and prevent spam and abuse. Legal basis: our legitimate interest in a safe, working website (Article 6(1)(f) GDPR).

We do not use your data for advertising, and we never sell it.

Who we share it with

We rely on a small number of trusted providers who process data on our behalf:

• Cloudflare, which hosts the website and provides bot protection (Turnstile) on our forms.
• Resend, which delivers contact form messages to our inbox.

These providers act as our processors and may process data outside the European Economic Area. Where that happens, the transfer is covered by appropriate safeguards such as the European Commission’s Standard Contractual Clauses.

How long we keep it

We keep contact messages and any uploaded files only for as long as we need them to answer you or to consider your application, and we delete them afterwards. Short technical logs are kept for a limited period by our providers for security reasons.

Your rights

Under the GDPR you have the right to access your data, to have it corrected or deleted, to restrict or object to its processing, and to receive a copy in a portable format. Where we rely on your consent, you can withdraw it at any time. To exercise any of these rights, email us at hello@insight-leuven.be.

You also have the right to lodge a complaint with the Belgian Data Protection Authority (Gegevensbeschermingsautoriteit), Drukpersstraat 35, 1000 Brussels, www.gegevensbeschermingsautoriteit.be.

Children

This website is aimed at university students and is not directed at children under the age of 16. We do not knowingly collect their data.

Changes to this policy

We may update this policy from time to time. The date at the top shows when it was last changed.
